Position Overview
The Warranty Administrator manages the end-to-end warranty claim process, ensuring accurate documentation, timely claim submission, and maximum reimbursement for warranty services performed at our dealership.
Serving as the vital link between our service department and RV manufacturers, this role is responsible for verifying coverage, obtaining repair authorizations, and resolving claim discrepancies. The ideal candidate is highly organized, deadline-driven, and possesses a sharp eye for detail to ensure full compliance with manufacturer policies.
Core Responsibilities
Claim Preparation & Submission: Review repair orders, audit technician repair notes, and organize/upload mandatory digital photo documentation to prepare and submit warranty claims efficiently.
Prior Authorizations: Act as the primary intermediary with manufacturers to verify warranty coverage and secure pre-authorizations for required repairs.
Accounts Receivable & Follow-Up: Track pending claims and aggressively follow up on delayed or denied submissions with manufacturers to ensure prompt dealership reimbursement.
Compliance & Records Management: Maintain meticulous records of all warranty claims, ensuring strict adherence to individual RV manufacturer policies, compliance standards, and retention schedules.
Parts Coordination: Facilitate and track the return shipping of defective parts required by manufacturers for claim verification.
Industry Awareness: Stay continuously updated on manufacturer recalls, technical service bulletins (TSBs), and shifting warranty policy guidelines.
Key Competencies & Qualifications
Detail-Oriented: Exceptional accuracy in processing complex documentation, parts tracking, and technical data entry.
Multi-Tasking & Time Management: Ability to oversee hundreds of open claims across numerous manufacturers simultaneously while meeting strict filing deadlines.
Communication Skills: Strong professional communication skills for negotiating claim approvals with manufacturers and collaborating with service advisors and technicians.
Technical Savvy: Proficiency with dealership management software (DMS), manufacturer portals, and digital photo uploading/organizing.
Experience: Prior experience in automotive, powersports, or RV warranty administration is highly preferred.
Compensation
Compensation is based on experience and is commensurate with Fortune 500 companies.
